The base fee you pay before anyone gets paid
Paychex charges two things: a monthly base fee, and a fee per employee on top of it.
The base fee doesn't change with your headcount. Five employees or twenty-five, it's the same number every month before a single person has been paid. That's why the effective cost per person is highest exactly when a company can least afford it — early, while it's still small.
Only the entry plan carries a published figure. Everything above it is quoted, and Paychex's own pricing pages send you to a form rather than a number.
Humavera charges per employee. That's the whole model. Free, Starter at $6, Growth at $12, Enterprise at $16 per employee per month, billed annually. No base fee. No minimum. A free tier below all of it that you can start on today without speaking to anyone.
Ten employees costs ten employees' worth. Fifty costs fifty. You can work out your own number in about a minute, and it stays predictable as you grow.
Five things to get in writing
If you're getting a quote from any provider with a layered fee structure, ask for these in writing before you sign:
- What's the monthly base fee, and does it change as we grow?
- Is year-end tax filing included, or charged separately? It's a common separate line, and it arrives once a year when nobody's expecting it.
- What's charged for setup, data migration and training?
- Which HR services sit outside the plan? Compliance support and HR advisory are often billed apart from payroll.
- What does an off-cycle or corrected run cost?
Then set that total against a single per-employee price with nothing underneath it.

Workflows are versioned, checked for closed loops, and can be simulated before you switch them on, so you see exactly what will happen before it happens to a real employee. SLAs and escalation are built in. You can also describe what you want in plain language and let AI build the workflow for you.
Because payroll sits in the same system, automation reaches it — a confirmed probation can update a pay element, assign a training path, notify a manager and file a document, in one flow.
Reporting that respects who's reading it
A report designer across twelve data areas with filters, grouping and aggregate functions. A presentation designer for tables, charts, KPI tiles, images and page breaks at A4 or Letter. Export to CSV, Excel or PDF, scheduled daily, weekly or monthly, shared with everyone, with a department, or with named people, and scoped per legal entity.
The part worth pausing on: a report runs with the permissions of whoever reads it. Share a report with a department head and it cannot show them a salary they aren't entitled to see. Permission is enforced on the data itself, not on the screen displaying it.
Most systems guard the page and leave reports as a side door. We closed it.
AI, without a premium tier
