Ask which kind of payroll you're being quoted

Modern HR platforms describe payroll in three quite different ways, and the words used are often the same.

  • Own engine. The platform calculates the payroll itself. The statutory logic is in the product.
  • Partner-run payroll. A local provider runs the payroll; the platform holds the employee data and passes it across. Priced per employee, on top of the software.
  • Employer of record. Another company becomes the legal employer of your staff in that country. Priced per employee, and usually a multiple of a software licence.

All three get marketed as payroll coverage, which is why a vendor's country count can look large without telling you much. The number that matters is how many countries the platform calculates itself — and it's a fair question to ask directly.

Omni HR runs its own payroll engines in a small number of markets, with partner-run payroll and employer of record available beyond that, each priced separately.

When you compare any platform that sells add-on modules and per-country payroll services, build the total for the setup you'll actually run, at the headcount you expect next year. The licence line is rarely the whole number.

Depth where most modern platforms stop

Plenty of platforms do core HR, leave and performance well. Fewer keep going.

The people who don't sit at desks

Clock in from the app, or connect the hardware you already own — ZKTeco and eSSL natively, other brands through the CAMS gateway. Geofences, grace and rounding policies, break rules, overnight shifts, missing punches, regularisation requests, and overtime at a configurable multiplier that flows into payroll.

Then shift scheduling: templates, patterns, coverage rules, shortage alerts, shift swaps and open shifts, with an AI shift manager that proposes a schedule.

If you run retail floors, clinics, factories, restaurants or field teams, this usually decides whether you need one system or two.

Automation you build yourself

The workflow designer is visual, with eight step types including approval, condition, branch and parallel. 183 events across the platform can start a workflow automatically — a hire, a leave request, a probation date, a contract expiry, a payroll run, a document acknowledgement.

Workflows are versioned, checked for closed loops, and can be simulated before you switch them on, so you see exactly what will happen before it happens to a real employee. SLAs and escalation are built in. You can also describe what you want in plain language and let AI build the workflow for you.

Because everything runs on one database, a single workflow crosses payroll, learning and documents in one flow, with nothing to integrate.

Reporting that respects who's reading it

A report designer across twelve data areas with filters, grouping and aggregate functions. A presentation designer for tables, charts, KPI tiles, images and page breaks at A4 or Letter. Export to CSV, Excel or PDF, scheduled daily, weekly or monthly, shared with everyone, with a department, or with named people, and scoped per legal entity.

The part worth pausing on: a report runs with the permissions of whoever reads it. Share a report with a department head and it cannot show them a salary they aren't entitled to see. Permission is enforced on the data itself, not on the screen displaying it.

Most systems guard the page and leave reports as a side door. We closed it.

AI, without a premium tier
